Professional Management: What is it and how can it help your community?

Managing a community can be demanding and rewarding in equal measure. The wonderful characteristics of a neighborhood -- parks, recreational facilities, and continuity of design, among other things -- require time and attention to monitor and maintain them. And, since most homeowners already have responsibilities like work and family in addition to caring for their own home, it's easy to see why communities can use the assistance of a professional management agent.

The following is a short list of our services:

  • Working directly for and with your Board of Directors

  • Providing 24 hour telephone and emergency service

  • Providing a resource pool for all homeowner inquiries

  • Accounting for all billings, receivables and payables

  • Handling and processing all Architectural Reviews

  • Inspecting the community regularly for CC&R violations

  • Corresponding with all CC&R violators until the issue is resolved

  • Providing full records of all HOA activity to the Board of Directors every month

  • Attending Board and Committee meetings as requested/required under our contract

  • Keeping the landscape maintenance at its best through oversight of the contract, routine communication with the contractors, and coordination of the bidding

  • Arranging for corporate tax filings

  • Locating and maintaining insurance service for the HOA at all times

  • Answering homeowner calls, email, and faxed questions

  • Closely monitoring financial delinquencies and dealing with them appropriately

  • Managing the common and open spaces of the community

  • Assisting the Board of Directors in establishing a viable budget

  • Mediating all arbitration of Board decisions when called upon to do so by either the Board of Directors or the homeowner

  • Dealing with all regulatory agencies on behalf of the association

Communication

Whether it's grievances or questions, ARC applications or assessment statements, we at Northwest Community Management are available to you. We have community managers available by appointment, phone, fax, or email Monday through Friday, 9 A.M. to 5 P.M., as well as accounting and support staff who can help with your questions. For communicating with the community at large about things like community events, meeting notices, or compliance reminders, we employ tools like newsletters, postcards, and websites to keep everyone updated quickly and easily. And, since emergencies like water main breaks never seem to happen during regular business hours, we also have a community manager on call during the evenings and weekends.

 

Meeting Attendance

Thanks to the progress of technology, we can stay in contact with the members of a community through phone calls, email, and faxes. Sometimes, though, it's nice to see the face of the person you talk to on the other end of that phone line all the time. That's why meeting attendance is a big part of the job for our community managers. We've found that by attending meetings (the frequency depending on the contract type your community chooses), we can learn first-hand about the cares and concerns of the people who live there.

 

ARC Review

Part of living in a planned community means abiding by the design guidelines stipulated in the governing documents of the association. Unfortunately, it can be confusing for both homeowners and board members when it comes to reviewing a neighbor's ideas for changes to their home. Northwest Community Management offers its experience and assistance with the Architectural Review process by being a clearinghouse for applications, expediting the approval process between the Architectural Review Committee and an applicant.
